Booster Substation Spare Parts Documentation: What an EPC Should Request

An EPC should request a controlled booster-substation spare-parts pack that links each item to an equipment tag, part or assembly reference, drawing revision, quantity basis, storage record, and named responsibility. The pack makes the request traceable; it does not promise stock, compatibility, shelf life, or maintenance results.

Part 1. Define the spare-parts document boundary

“Spare part” may mean a commissioning item, a maintenance spare, a recommended spare, or a site consumable. Name the category, equipment boundary, and contract package before asking for a list. A product photograph cannot prove inclusion, availability, or interchangeability.

Important: Treat a spare-parts list as a controlled project record. It should state its equipment scope, revision, quantity basis, and responsible owner; it is not a promise of inventory or replacement fit. (IEC 60076-1)

Part 2. Make every item traceable

Each line should let the EPC connect the item to the installed equipment and current design record. Use the same tags and references as the approved drawings where possible.

Part 3. Separate spare categories and quantity bases

Ask the supplier to label whether an item is a commissioning spare, maintenance spare, recommended spare, or consumable. The category should be accompanied by a quantity basis and the party that approved it.

Part 4. Add drawings, datasheets, and storage records

The handover pack should identify the drawing, datasheet, manual, storage/handling sheet, packing list, and any inspection record that belongs with the spare. Keep superseded revisions visible in the history but mark the current issue clearly.

Part 5. Assign responsibility for supply and handover

Record who defines the item, who prices or supplies it, who receives and stores it, and who accepts the handover. EPC, owner, supplier, and operations responsibilities should appear in the matrix rather than being inferred from a quotation.

The matrix should identify:

1. the equipment package and list owner;
2. the supplier contact for identity and document revisions;
3. the EPC/owner reviewer for quantities and categories;
4. the receiving and storage responsible party; and
5. the approval route for substitutions or omissions.

Part 6. Build the spare-parts RFQ input pack

Send the list request with a controlled project basis. Ask for gaps, substitutions, and document dependencies to be flagged explicitly.
